C-Tribe Society (“C-Tribe”, “we”, “us”) operates the C-Tribe Festival & Conference and related digital properties including ctribefestival.com, ctribesociety.com, and associated event platforms. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA). Scope of this policy

This Privacy Policy applies to personal information collected through C-Tribe websites, event registration and ticketing platforms, mobile applications, newsletter subscriptions, volunteer and partnership forms, and any in-person interaction at C-Tribe Festival & Conference events — including all seven verticals: Tech, Fashion, Gaming, Music, Culture, Film, and Health.

Information we collect

We collect personal information that you voluntarily provide and information that is automatically gathered when you interact with our services:

  • Contact details: name, email address, phone number, and mailing address provided through registration, ticket purchases, newsletter signup, or direct outreach.
  • Event participation data: pass type (Single Event, Vertical, Tribe, VIP, Executive, or Diversity Pass), vertical preferences, session attendance, and event check-in records.
  • Payment information: credit card, debit card, or other payment details processed through our third-party payment provider (Stripe) when purchasing passes or merchandise. C-Tribe does not store full payment card numbers.
  • Professional information: job title, company, industry, and areas of interest shared during registration, networking features, or partnership inquiries.
  • Volunteer and partnership details: availability, skills, organizational affiliation, and role preferences submitted through volunteer or partnership forms.
  • Communications: messages, inquiries, and feedback you send us via email, contact forms, or social media.
  • Website usage data: IP address, browser type, device information, pages visited, referring URLs, and interaction patterns collected via cookies and analytics tools (Google Analytics, PostHog).
  • Newsletter and marketing preferences: email engagement data including open rates and click-through activity, managed through our email platform.

How we use your information

C-Tribe collects and uses personal information for the following purposes:

  • To process event registrations, issue passes, and manage your festival experience across all seven verticals.
  • To facilitate and process payments for passes, merchandise, and event-related purchases.
  • To communicate with you about C-Tribe Festival & Conference — including event updates, schedule changes, logistics, and post-event follow-ups.
  • To send newsletters, promotional materials, and information about upcoming C-Tribe events, partner offerings, and community initiatives (with your consent).
  • To operate networking and community features within our event platforms, including attendee matching and session recommendations.
  • To evaluate Diversity Pass applications and support our commitment to inclusive access.
  • To coordinate volunteer activities and manage partnership and sponsorship relationships.
  • To improve our websites, event experiences, and services through analytics and feedback.
  • To comply with legal obligations, enforce our terms of service, and protect the safety and security of our events and attendees.

C-Tribe websites use cookies and similar technologies to enhance your browsing experience, analyze site traffic, and understand audience behavior. These include:

  • Legal requirements: when required by law, regulation, legal process, or governmental request, or to protect the rights, safety, and security of C-Tribe, our attendees, or the public.
  • Business transfers: in connection with any merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

Some of our service providers may be located outside of Canada. Where this is the case, your personal information may be subject to the laws of those jurisdictions.

Data retention

We retain personal information only as long as necessary to fulfill the purposes for which it was collected, or as required by law. Event-related data is typically retained for up to 24 months following an event to support post-event communications, feedback, and planning for future editions. You may request deletion of your data at any time by contacting us.

Your rights under PIPEDA

Under Canadian privacy law, you have the right to:

  • Access the personal information C-Tribe holds about you.
  • Request correction of inaccurate or incomplete personal information.
  • Withdraw your consent to the collection, use, or disclosure of your personal information (subject to legal or contractual limitations).
  • Unsubscribe from marketing communications at any time using the unsubscribe link in our emails or by contacting us directly.
  • File a complaint with the Office of the Privacy Commissioner of Canada if you believe your privacy rights have been violated.

C-Tribe will respond to access and correction requests within 30 calendar days. There is no cost for standard requests.

Security

C-Tribe implements appropriate technical and organizational safeguards to protect personal information against unauthorized access, loss, misuse, or alteration. These include encryption of data in transit, secure hosting infrastructure, access controls, and regular security reviews. While no method of transmission or storage is completely secure, we are committed to protecting your information to the best of our ability.

Children’s privacy

C-Tribe does not knowingly collect personal information from individuals under the age of 13. If you are under the age of majority in your jurisdiction, please ensure you have the consent of a parent or legal guardian before providing any personal information to C-Tribe. If we become aware that we have collected information from a child without appropriate consent, we will take steps to delete it.
